Challenge

Using a template that we designed, our client created for us a work order, defining specific requirements. The job type was a remodel; our estimators knew right away how to break down the scope of work based on the activities. After a short transfer meeting, job assessment, and defining the job due date, the estimating department was ready to generate a work order and start preparing this cost estimating proposal.

Strategy

We based our job on standardized operating procedures that we have built from experience on previous projects. Our team divided the tasks according to the construction trades to complete the job as per the construction sequence.

Approach

Accuracy and timing are critical factors in cost estimates. We perform our quantity takeoffs using software like PlanSwift or Xactimate and updated cost data templates (provided by ourselves or the client). After that, we input the job quantities and unit costs into a construction management software or an excel spreadsheet to deliver the job in a clean bidding format.

The Process

We follow a structured end-to-end process that ensures the best results for our clients.

Quantity Take Off (PlanSwift)

A team meeting was called to discuss the reach of the bid and break down the scope of work to complete the remodeling project using preliminary plan sets and bid specifications. Estimators used automation tools to obtain detailed measurements of materials and labor needed, examining for completeness using the Construction Specifications Institute (CSI) guidelines.

Cost Database Template

Our client sent us his Planswift template with costs per unit and formulas included for each trade. By using that template, we were able to obtain the total cost of material and labor according to the client’s template parameters.

Cost Estimate (CoConstruct)

To prepare final bidding estimates, manage our client’s prospects, or control active projects, we use construction management software. In this project, we inserted all line items with quantities and cost per unit to generate a complete estimate with the project’s total direct cost, overhead, and margin..

Construction Specifications

Every construction job has its specifications in terms of materials and installation procedures. We extract the construction specs from the bidding drawings or the project manual provided by our client and insert the specs into CoConstruct to detailed the specifications in terms of materials required for this job.
